Booking T & C's
If, like me, you normally bypass all the boring t&c's, please do take a minute to have a check over these before you book. It's all relevant, but in addition please pay particular attention to points 7, 9 and 14.
‘We’, ‘us’, ’our’ and ‘organiser’ are BeYourselfOutdoors/Rebecca Nokes - Freelance Outdoor Instructor and any staff working with and on behalf of BeYourselfOutdoors/Rebecca Nokes - Freelance Outdoor Instructor. In these booking conditions references to ‘you’, ’your’ and ‘participant/s’ include the first named person on the booking and all persons on whose behalf a booking is made or any other person to whom a booking is transferred.
1. Event organiser
1.1 Terms and conditions relevant to ALL events/courses appearing on www.Beyourselfoutdoors.com website, Facebook page, Instagram page or Twitter handle
1.2 Organised by Be Yourself Outdoors/Rebecca Nokes - Freelance Outdoor Instructor. Registered in England and Wales, Registration No: 1617281908. Contact: 07971 825225 / beyourselfoutdoors@gmail.com
2. Booking pre-requisite
2.1 You must be over 18 years of age or over, unless otherwise stated
3. Service
3.1 We will endeavour to provide an event/course as closely resembling that described on the website or any other promotional material. Be aware that due to unforeseen circumstances some details may vary slightly, however, the overall quality of the event/course will not be diminished
3.2 If there has to be changes made on the day due to reasons out of our control e.g. weather, sickness. the leader's decision will be final
4. Medical
4.1 It is your responsibility to ensure that you are sufficiently fit and adequately equipped to partake in your chosen event/course
4.2 You must fill in and sign a medical form stating any medical conditions prior to the event/course. A form will be sent securely by email, but will also be available on the day as a backup
4.3 If you are not in a suitable condition to complete an event/course or are under the influence of drink or drugs at the time of the course, we are within our rights to ask you to leave the event/course due to safety. We will not be liable for any extra expense incurred by this and you will not be able to claim a refund
4.4 If you become unwell and unable to attend the event/course, it is the participants responsibility to notify us as soon as possible, and before the beginning of the event/course
4.5 If you become unwell during the course, it will be your responsibility to organise onward travel to return home. If you are involved in an accident resulting in you being taken to hospital by ambulance/car, it is your responsibility to organise travel home. We are not liable for any costs associated with the result of a hospital stay/leaving the course early. No refund will be given, however if possible, we will offer you an alternative date for the same, or similar event/course if you wish. In any medical circumstance we will not be liable for any extra expense outside of the event/course
4.6 If you are taking part in a canicross activity, the dog is your sole responsibility during the activity. You must adhere to the rules of the session so that everyone can feel comfortable and secure. Please make sure that you are happy for your dog to take part - we highly recommend that you seek veterinary advice if your dog has not taken part in canicross before, but this is the sole responsibility of you, the owner. No dog under 1 year of age should take part.
5. Participants responsibility
5.1 You are responsible for your own kit being suitable on the day. If however, in such circumstances where the leader deems your kit to be highly unsuitable we will either look to loaning you appropriate kit or ask you to go and purchase kit for the day. A full suggested kit list will be sent out to you prior to the event and any concerns or questions should be sent via email here before the date of the event/course
5.2 In extreme circumstances where we feel it would be unsafe and may jeopardise your own and/or other participants safety then you will not be able to take part. Our decision is final and no refund will be given
5.3 You agree to abide by the authority of the leader/s of the group and act in a reasonable way for the duration of your event. We reserve the right to remove any person from an event whose behaviour is deemed by the leader to be detrimental to the group, unsafe or adversely affecting the groups’ enjoyment. We will not be liable for any refund in these circumstances
6. Cyclists responsibility
6.1 You must at all times ride within your own capability, we will always recommend getting off the bike to walk if at any point you feel a section is too technical for you at that time, however this will be your responsibility to do so
6.2 Your bike, whether hired or belonging to you, is your responsibility to arrive with, and keep your bike in safe working order and you must notify us of any defects as soon as possible. We reserve the right to stop you from participating if your bike is not in a safe working order
6.3 If we have to provide a hire bike in order for you to participate you will be responsible for the total cost of the hire. Should your bike be deemed unsuitable by us on the day and there is no hire bike available, no refund of the event will be given in this instance
6.4 We would also recommend wearing gloves, riding glasses and any other body armour you feel necessary such as elbow pads and knee pads, however, this is at your discretion. We accept no liability if you choose not to wear such armour
6.5 Cycle helmets are compulsory - no helmet, no ride. Always wear an approved safety helmet conforming to CE standard EN1078 at all times whilst on the bike
6.6 You agree to abide by the authority of the leader/s of the group and act in a reasonable way for the duration of your event/course. We will not be liable for any refund in these circumstances
6.7 We will try to help should you have any mechanical failures whilst riding, but it is your responsibility to judge whether the repair is safe or not before continuing. The cost of any spares provided by the us, including inner tubes, will be met by the participant
6.8 Participants must wear clothing that is suitable for the type of riding you will be doing and the weather on the day. You must also bring any equipment or spares required. Leaders will be carrying some equipment and spares for emergencies only, as well as a group first aid kit. A full suggested kit list will be sent out prior to the event/course
7. Risk
7.1 There is an INHERENT RISK OF INJURY OR EVEN DEATH, IN PARTICIPATION IN CYCLING , MOUNTAINEERING ACTIVITIES, TRAIL RUNNING and CANICROSS. Risk can be reduced to what is deemed as acceptable levels by implementing appropriate risk assessments. Copies of written risk assessments are available on request here
7.2 By signing onto a course you are agreeing to these terms and conditions and you take personal responsibility for your own actions. We take no responsibility for damage, death or injury caused to you or by you as a result of participation on the event/course
8. Insurance
8.1 We strongly recommend that you obtain adequate travel insurance cover or sports cover including personal accident cover before joining any of our events. Please check their cancellation cover
8.2 If you are on a mountain biking event/course, the insurance cover must be comprehensive enough to cover you for mountain biking. Please check the small print and if unsure please ask them for more information
8.3 The organiser holds Professional Indemnity insurance and Public Liability insurance for all activities. Copies of certificates are available on written request here
8.4 The organiser is fully qualified for the activity that you will be taking part in. It is the organisers responsibility to ensure that anyone working with and on behalf of Be Yourself Outdoors/Rebecca Nokes - Freelance Outdoor Instructor, also has sufficient and relevant qualifications and insurance cover
8.5 The organiser holds First Aid in the outdoors certification, Canine First Aid and DBS checked
9. Cancellation & Changes
9.1 Cancellation of your online booking can be made in accordance with online selling law up to 14 days after purchase, except where your application is made within two weeks of the event/course date. Within this time period a refund will be given minus any transaction fees
9.2 After the time period stipulated above, your application is final. If you need to cancel your booking after this time for any reason you must inform us in writing here. Cancellation by you due to any circumstance before 6 weeks prior to the course start date will result in the loss of the balance paid (minus the deposit). Within the 6 weeks prior to the course start date, no refund can be offered.
9.3 We have the right to cancel courses at any time when the wellbeing and safety of participants is compromised due to weather conditions resulting in hazardous or dangerous conditions; or for any other circumstance which is outside of our control and results in having to cancel the event/course. A change of date will be made and if you cannot make the new date then a voucher will be offered for an alternative event/course on a future date
9.4 If the minimum* amount of bookings for an event/course to run has not been reached, we will notify you no later than 14 days prior to the event/course date. An alternative date will be sought or a refund will be given. *Minimum numbers depend on the event/course offered and is always sought to be avoided where possible
9.5 In the event of cancellation or date changes by us or by you, no other costs or expenses incurred by you will be covered by the organiser. We recommend you take out sport insurance and travel insurance to cover these eventualities (see 8)
9.6 You may transfer onto another Be Yourself Outdoors event/course of the same or lesser value, up to 6 weeks before the event date. You may defer or transfer your ticket once and there after your ticket will be non transferable / non deferrable. Deferrals and transfers are subject to a £5 administration fee
9.7 You may transfer your booking into another name once. Please notify the organiser in writing here
9.8 Re-sale of tickets is forbidden. Any transfers of your event/course booking to a third party (see 9.7) will be subject to the consent of the Organiser
9.9 Our liability to you in any circumstance is limited to the total cost of your ticket to the event/booking
10. Pictures and film free rights
10.1 The participant gives the organiser the right to use pictures and film material taken during the event to be used free of rights in marketing, press material, internet, television and movie
10.2 All images and rights from the event are reserved. All unauthorized commercial use of images will be legally addressed
10.3 The participant reserves the right to request in writing their wish to not take part in pictures and film. You can contact the organiser here
11. Accommodation
11.1 Where there is accommodation organised or suggested, we have no further responsibility other than that of booking and payment on behalf of the customer
11.2 All complaints or issues surrounding the accommodation are to be addressed by the proprietor of the establishment
12. Complaints
12.1 If you have a problem or complaint on your event/course you must bring it to the attention of us as soon as possible and we will try to rectify the problem to the satisfaction of both parties. This also helps us to improve our services in the future
12.2 If you feel that the problem was not resolved and resulted in a much reduced enjoyment of the event/course, you must inform us in writing here within 28 days and we will respond within 28 days to resolve the matter to the satisfaction of both parties
13. Privacy
13.1 We will not pass on your personal details to any third party except for the purposes of organising the event/course you have booked, or to give to medical staff should there be an incident in which you are involved and injured

14.Accepting the terms and conditions
14.1 We reserve the right to amend or improve these terms and conditions without prior notification
14.2 When it is necessary for changes to be made, we will forward the participants a copy of these changes and all bookings will abide by the emended terms. If you choose not to agree to the new terms and conditions please contact us here to discuss a solution
14.3 By making the booking, each participant accepts these terms and conditions in full
